Mt. Olivet Baptist Church May 29, 2020 Subject: Re-Open Report Click to Open The Re-open Team consist of representatives from various Church Ministries that reviewed an 8 Step Reopen Plan assembled from the Pastor’s notes taken at several National Church Re-opening Conferences . The representatives met with their ministries and reported how each ministry could work with the plan to assure a safe and successful reopening of the church buildings. Prayer All Ministries are requested to encourage their members and Family   Care   Groups to set aside time each day to pray for the needs of the church, it’s members and the needs of the community. Maintain Healthy Best Practices in the Church Building Trustees A clean church is a main priority. Deep cleaning the sanctuary after worship services is needed. Trustees will consider limiting access to the building to Sunday for Worship Services and Monday for Food Pantry. Trustees will evaluate whether additional Cleaning Staff or Services are needed in light of reduced building use. Attention is needed in the bathrooms. Three estimates for touchless fixtures are being evaluated. Infrared touchless thermometers, masks and sanitizer have been ordered. Health Ministry The Health Ministry will    help    train    Ushers, Greeters and volunteers to take temperatures, to ask health screening questions, to redirect people who must be restricted from entering, to seat worshipers using Social Distancing Guidelines and to use safe practices in the sanctuary. The Zoom Greeter and Usher Training Meeting will be held on Sunday, May 31st, 12 noon . Drs. Jacob and Walker will be available on Sundays to assist with screening people with Special Needs. The Health Ministry will hold a Community-wide Training on Saturday,   June   20th,   9am to raise awareness of Mental Health issues in Ministry and COVID related Mental Health issues. The Health Ministry will provide announcements and presentations on public health safety Greeters Greeters may need to screen people in the parking lot. The Men’s Fellowship agreed to help screen people in the parking lot to reduce congestion at the entrance. Greeters will train with Ushers to work together to welcome and guide people into the church. Kind words and an inviting atmosphere need to compensate for the loss of handshakes and hugs. Ushers Families will be seated together with at least six feet between families. No Nursery Services will be provided. Blankets will not be stored and available any longer. Bibles and Hymnals will   be   removed   from pews and stored. Offering must be collected in a manner that avoids congestion and allows for social distancing. Leaders will continue to encourage online giving during the service. No used spare white gloves will be available for ushers. Small water bottles will be used instead of cups. A small number of paper bulletins will be available. Other bulletins will be available online. Diaconate Communion will be served at the sanctuary entrance doors in the same fashion as it is done during Holy Week. Prior   to   Reopening , Communion will available on the Saturday before the first Sunday for Drive Thru Service in the parking lot. The next Drive Thru Communion will be June 6th, 11am to 1pm held in conjunction with the Youth Drive Thru. The Diaconate will: 1. Survey the congregation to estimate the number of people who want to attend Sunday Worship and determine if two services will be needed to maintain Social Distancing. 2. Begin to hold bi-weekly Family Care Zoom Meetings to get the church connected. 3. Begin window visits at Nursing Homes. 4. Sending cards to Graduating Seniors. 5. Call-in numbers for prayer are shown during the livestream and should be added to other media. Board of Christian Education The Adult 2 Sunday School will hold classes on the Old Sanctuary and may   share that space with Adult 1. Bible Studies are meeting on Zoom and will continue to meet remotely. Communicate to Your Church People. Communications The Communication Ministry needs    a    process    to receive information from all Ministries   that can be shared in the Olive Leaf . The Church Facebook page needs to be upgraded and available to the Communications Ministry to add information. The Church Website needs to be more   easily   available   for the Communications   Ministry to add information. Audio Visual and Media - The AV Ministry will continue virtual services with both live and prerecorded content. Action Needed : 1. More people with AV expertise 2. Projectors, cameras, and other equipment are needed. Capital Campaign to pay for equipment/supplies should be considered 3. Integration of the PC system needs more conversation (Reverend Harvey has a Mac system); Ecamm live is not the expertise of any of those on the AV Team 4. Upgrades are needed which will allow both local Church and Virtual Church capability. Youth Ministry The Youth Ministry will: 1. Hold a Drive Thru on June 6th , 11am - 1pm 2. Have Special Youth Day activities on June 7th 3. Have a Summer Kick-Off with Scavenger Hunt and other games on June 16th, 6pm, this event was planned by The Youth Core Team 4. Not have Children Church at this time but we may revive Children’s Moment with Social Distancing. 5. Plan Youth games and activities nvolving the worship service. For example: how many times does Reverend Harvey say “Amen.” 6. Solicit T.R.I.B. E’s participation with activities. 7. Create a Children Bulletin. 8. Prepare to Help People Who Lost Jobs Food Pantry Ministry Foodlink is willing to help with creating a new process. They have specific guidelines for distributing the various foods in the program. The challenge is lifting the heavier items. Future delivery will be done as a drive by. Food will be placed directly in the car trunk. The Ministry must figure out how to handle those that walk over to the church. Men’s Fellowship   will assist in lifting the food and carrying upstairs. The Ministry will consider staying open during the Summer and use that time period to create and work the new model for the Food Pantry.
